Client Service Coordinator

SUMMARY 
The Client Service Coordinator is the primary point of contact for their assigned clients. The primary responsibility is recruiting; filling clients requests for personnel. The secondary responsibility is all administrative work to support this task. This includes ensuring accurate payroll & documentation within Avionte Bold, as well as handling employee questions and concerns. This position is the liaison between our client, the employees, and all departments within SMS – payroll, management, etc. It is imperative that you develop a solid rapport with both your clients and your employees.  
Responsible for coordination of employee sourcing (recruiting, screening, and selection), onboarding (documentation, compliance, and orientation), and employee training and development as requested by your clients. Additionally, you may be called upon to provide advice, assistance, follow-up, and ensure resolution of specific SMS / Client related problems as they relate to policies, procedures, and documentation. 

PRIMARY RESPONSIBILITIES
  1. Develop and maintain recruiting partnerships / protocols 
  2. Register for, attend, staff, and follow up on job fairs and recruiting events through agencies and associations, an utilize networking through associations and social media in the industry. 
  3. Assess the staffing needs of client company, maintain an open orders list, and define priorities. 
  4. Maintain client labor requisitions, ensure current job descriptions & Profiles 
  5. Use your hiring process chart to ensure fairness and accuracy in recruiting/ hiring  
  6. Enter all assignments in database and maintain Job Board openings, job descriptions in Avionte BOLD.  
  7. Be creative in your recruiting; share your candidates with other CSC’s if you cannot place that applicant. 
  8. Review resumes conduct phone interviews and prescreen applicants based on qualifications. 
  9. Evaluate applicant qualifications, education and experience for match to openings. 
  10. Conduct in person interview with candidates, and qualify for fit to client needs.
  11. Ensure candidates meet selection criteria for driving, criminal history, and drug screening, etc…
  12. Complete a detailed onboarding orientation to ensure the candidate is prepared for their new position; give them every opportunity for success
  13. Once hired, verify eligibility for employment through E-Verify, document and file consistently.  
  14. Document all offers / refusals of work; ensure accurate start and end dates for all assignments. 
  15. Create employee files and maintain documentation meet customer regulations and compliance. 
  16. Investigate employee issues and conflicts and brings them to resolution- ensuring detailed documentation
  17. Full Cycle HR – Benefits Administration, FMLA, EEOC, ACA, UIA, Wage & Hour
  18. Ensure the organization's compliance with local, state, and federal regulations
  19. Track all COVID HR issues including FFD on a daily basis for all assigned clients 
ADDITIONAL RESPONSIBILITIES
  1. Perform research and investigation of operational issues as requested. 
  2. Provide various reports as requested by the client company and / or the vice president. 
  3.  Develop and recommend operating policy and procedural improvements.
  4. Employee counselling & guidance as needed
  5. Responsible for determining eligibility for Vacation / PTO and Holiday pay for all assigned employees
 
Client Service Coordinator Requirements:
  • Minimum of 1 solid year recruiting
  • Minimum of High School Diploma; some college preferred
  • Customer Service experience a plus
  • General Understanding of labor laws, employee relations, case law, and governmental compliance regulations helpful not required
  • Excellent interpersonal, communication, and conflict management skills
  • Proficiency in computer applications including MS Office, SAP, HRIS system, payroll system.
Physical requirements: 
  1. Primarily sitting at a desk
  2. Touring client facilities as needed, requiring long periods of standing and walking
  3. Ability to travel to client sites as needed
  4. Required to work in an office setting; work is NOT remote
